How communication works — the basic model
Every act of communication involves the same core elements. Understanding this model helps you identify where communication breaks down — and fix it at the right point rather than just repeating yourself louder or faster.

Noise — the sixth element
In communication theory, noise is anything that interferes with accurate transmission between sender and receiver. In a boatyard, noise is both literal and figurative. Recognising the type of noise tells you which part of the communication model to fix.

Too many instructions at once — or a document with no clear structure — causes people to miss the critical point. Prioritise and sequence information; use numbered steps for procedures.

Choosing the right communication method
Not every situation requires the same communication method. Choosing poorly — for example, giving a complex laminating instruction verbally in a noisy shed, rather than in writing — is itself a communication error. The right method depends on the nature of the information, the urgency, the need for a record, and the audience.

Organising information before you communicate it
Unorganised information is almost as useless as no information. Before you write a report, brief a team, or raise an issue with a supervisor, the information must be structured so the receiver can understand it quickly and act on it accurately. There are three stages: gathering, sorting, and presenting.

In a production environment, most day-to-day communication is verbal. Spoken communication is fast and allows immediate feedback — but it leaves no permanent record, is vulnerable to noise, and relies heavily on the listener's attention. Three specific verbal skills are essential in the boatyard: briefing, active listening, and confirming understanding.

Active listening and confirming understanding
Hearing is passive; active listening is a deliberate skill. In a boatyard, active listening means maintaining attention on the speaker, not preparing your next sentence while they are still talking, and asking clarifying questions before acting. The standard method for confirming understanding in a high-consequence environment is read-back (also called "teach-back"): the receiver restates what they understood in their own words, and the sender confirms or corrects it. This is standard practice in aviation, surgery, and military communication for exactly the reason it matters in boatbuilding: a misheard instruction causes a real-world error.

Reporting — verbal and written
In a boatyard, reporting upward to supervisors, QC officers, or managers is a core communication responsibility. Effective reporting is timely, factual, relevant, and complete. The most common failure in reporting is delay: workers who wait too long to report a problem because they hope it will resolve itself, or because they fear the reaction. Early reporting of a problem almost always results in a better outcome than late reporting.

Modern communication in the boatyard
The principles in this unit — clarity, structure, choosing the right channel, and confirming understanding — are unchanged by technology, but the tools have evolved significantly. Modern boatyards increasingly use digital platforms: job cards on tablets, quality records submitted through QMS apps, team communication via messaging platforms (Slack, Teams, or purpose-built yard management systems), and video documentation of assembly processes for traceability. What has not changed is the underlying requirement: the right information must reach the right person, in a form they can understand and act on, at the right time. A poorly written message on a digital platform is still a poorly written message. Understanding the fundamentals of workplace communication makes you effective regardless of which platform the yard uses.
